Introduction
This article will show you how to complete a CSV template to manually add new learners to Boost Insights or edit existing ones.
Note that you do not have to perform these actions on separate CSV files. As long as you follow the relevant guidelines below for each learner, you can add new learners and edit existing ones on the same file.
Before completing the CSV file, make sure you've created the year groups and classes you'd like to populate in the Admin Hub.
Please note that you cannot edit learners via CSV if they are synced with your MIS. You must update their details in your MIS instead.
Adding New Learners
The columns below are mandatory:
- Column A: Type 'A' (for ‘add’).
- Column C: Type 'S' (for ‘student’).
- Column D: Enter the learner's first name.
- Columns F: Enter the learner's surname.
- Column G: Enter the learner's year group. The formatting and spelling must be identical to what you have written in the Admin Hub under School > Year Group Settings.
- Column H: Enter the learner's class name. The formatting and spelling must be identical to what you have written in the Admin Hub under the purple Classes tab.
- Column I: Enter the learner's date of birth. The format must be DD/MM/YYYY.
- Column J: Enter the learner's gender. Type 'M' (for 'male') or 'F' (for 'female').
- Column V: Type ‘Y’ (for 'yes') to grant a learner access to Boost Insights when the CSV is uploaded, or type 'N' (for 'no') to put them in Pupils > Without Access. Learners who do not have access to Boost Insights will not appear on marksheets, reports, or test assignments.
The columns below are optional:
- Column B: This column should be left blank for new learners.
- Column E: Enter the learner's middle name.
- Column K: Enter the learner's home language. Languages other than English will automatically place the learner in an ESL contextual group for their year group (e.g. 'English as Second Language - Year 1') under Groups > Contextual Groups.
- Column L: Enter the learner's UPN (unique pupil number). This is mandatory if you are planning to export pupil data to FFT Aspire.
- Columns M-U: These columns are contextual groups. They allow you to group learners by different factors, including SEN and pupil premium status, in addition to their regular year groups and classes. You can then create test assignments and view marksheets and reports using these groups. Put a 'Y' (for 'yes') under each group you'd like to add a learner to.
The example below shows what a CSV template with the mandatory fields completed should look like:
Editing Existing Learners
The columns below are mandatory:
- Column A: Type 'E' (for ‘edit’).
- Column B: This column will be populated with user ID numbers when you export the CSV of your existing students. Do not edit these numbers--it is how the system identifies your users when you reupload the CSV file.
- Column C: Type 'S' (for ‘student’).
- Column D: Edit the learner's first name as desired.
- Columns F: Edit the learner's surname as desired.
- Column G: Edit the learner's year group as desired. The formatting and spelling must be identical to what you have written in the Admin Hub under School > Year Group Settings.
- Column H: Edit the learner's class name as desired. The formatting and spelling must be identical to what you have written in the Admin Hub under the purple Classes tab.

If you selected Export File With Groups when exporting a CSV file to edit your learners, then you will see additional columns for each of your custom groups. Type 'Y' (for 'yes') under each group you'd like to add a learner to. Remove the 'Y' to remove them from a group.
